Position Description
Operations Manager (Part-Time)

The Operations Manager is responsible for the day-to-day business operations of Maristan including fi nances, HR, logistics, and compliance. They will work alongside the Executive Team to ensure successful operations of the organization as a business. The individual should embody the organization’s mission and vision. They should be able to prioritize various tasks and responsibilities while working alongside the Executive Director. This position offers the opportunity to help direct the growth of the organization and implement mental health and wellness initiatives that serve our communities. This role will provide overall guidance and help grow strategic operations in Maristan’s programs and mental health services. Members must be willing to attend weekly staff meetings virtually, participate in strategic planning with the Board on an as needed basis, follow through on commitments and participate fully in the decision-making process.

 
Duties and Responsibilities

The Operations Manager will perform duties, including but not limited to, the following:

  • Oversee the overall operational activities of the organization including HR, logistics, finance, and the Education and Mental Health Department, ensuring efficiency and alignment with mission
  • Ensure legal requirements are in place to maintain Maristan’s functioning within ethical and legal boundaries
  • Develop legal instruments including MOUs, contracts, agreements, and policies as required
  • Assist Treasurer and Accountant with managing organizational finances
  • Manage Maristan’s various accounts and oversee the organization of pertinent files/documents on Google Drive
  • Handle administrative tasks, including emails, phone calls, and communication within Maristan’s channels
  • Support the organization with fundraising and fundraising initiatives
  • Oversee quality control and ensure compliance protocols and measures are in place
  • Oversee and manage organization assets and inventory
  • HR Matters
    • Align organization to a level of best practices for HR administration (policies, hiring process, termination process), payroll administration, and benefits administration
    • Liaise with state and federal employment agencies on regulatory requirements
    • Monitor the hiring process ensuring candidates selected align with job descriptions and Maristan’s values
    • Recruit and train new hires and manage general onboarding of new hires within departments managed, including volunteers for various events and campaigns
    • Manage the bi-monthly organization meetings
  • Work closely with the Executive Director and board members and support the strategic development of programs and mental health services
  • Support team with new initiatives and tasks as needed
Qualifications, Skills, and Abilities

Technical Knowledge

  • A minimum of a BA/BS degree or related work experience
  • Master’s degree preferred
  • 3–5 years of experience in a nonprofit setting
  • Demonstrated knowledge of practices in mental health
  • Familiarity with nonprofit financials, public policy, and a working understanding of outcome measures and evaluation
  • Internet competency and strong computer proficiency
  • Mastery of Microsoft Office software suite and Google Drive
  • Familiarity with QuickBooks and Asana
 

Relationship Building:

  • A strong record of managing partnerships and building effective relationships in varied environments and with diverse constituents
  • Ability to work independently and as a team player to productively engage with others
 

Convening and Facilitation Skills:

  • Ability to facilitate meetings and group processes for the purposes of agenda-setting, fact-finding, decision-making, and collaboratively working to accomplish shared goals
  • Strong organizational, leadership, and time management skills with exceptional attention to detail
 

Communication Skills:

  • Excellent writing skills with the ability to write clear, concise narratives (absolutely required)
  • Ability to comfortably correspond with diverse audiences including donors, Board members, civic and religious leaders, government officials, and nonprofit and community groups

Position Description
Accounting Coordinator (Part-Time)

The Accounting Coordinator is responsible for overseeing the financial health and operations of Maristan, including budgeting, financial reporting, and ensuring compliance with relevant regulations. Duties include analyzing financial data, advising on financial strategies, and supporting the Executive Director (ED) and Board Treasurer.


The Accounting Coordinator may handle tax-related tasks on behalf of the Executive Director and/or Treasurer when needed. For fundraising activities, they will track funds raised and ensure accurate reporting in quarterly budgets. This role also involves assisting with designing and maintaining the organizational budget and collaborating with other departments as required.


Additional responsibilities include approving expenses according to organizational guidelines, supporting the streamlining of financial processes, developing Standard Operating Procedures (SOPs), and creating financial policies that strengthen internal systems.

Duties and Responsibilities

The Accounting Coordinator will perform duties including, but not limited to, the following:

  • Manage finances on a day-to-day basis
  • Be available to approve and release funds for expenses and invoices
  • Track incoming funds and expenditures of grants
  • Support the Executive Director in monitoring and tracking funds for contracts
  • Ensure timely and accurate recording of financial transactions in alignment with the monthly close calendar
  • Collaborate with teams to review financial entries, follow up on outstanding items, and ensure proper recognition of restricted Zakat revenue and usage
  • Review financials to assess performance, strengths and challenges, and monitor for any budget deficits resulting from insufficient revenue or overspending
  • Support different departments in processing invoices and reimbursements
  • Process and upkeep registrations for State and Federal 501(c)(3) status
  • Assist with audits as required
  • File annual State and Federal tax returns
  • Work with the Operations Manager and Executive Director to develop and track against annual budgets
  • Coordinate with HR on payroll distribution expenses and accounting treatment
  • Manage and own banking relationships
  • Develop policies and SOPs to streamline processes regarding processing invoices, reimbursements, and expenditures
  • Attend weekly and monthly meetings
  • Support special projects and respond to ad-hoc requests from leadership and program teams as needed
Qualifications, Skills, and Abilities

Technical Knowledge:

  • A minimum of a B.S. degree in Accounting, Finance, or a related field
  • Preferred 4 years of experience in a financial role within a non-profit setting
  • Experience in Operations/HR payroll and booking payroll entries
  • Knowledge of QuickBooks and Gusto

Digital Marketing Coordinator (Part-Time) The Digital Marketing Coordinator will support digital and offline engagement through strategic execution of outreach campaigns, social media content, and event promotion. You’ll work closely with the Marketing & Communications Manager and collaborate across multiple teams and departments to ensure consistency, creativity, and alignment with Maristan’s voice and mission. Duties and Responsibilities

The Digital Marketing Coordinator will perform duties including, but not limited to, the following:

  • Help plan, create, and manage content for Maristan’s social media platforms, email newsletters, and website.
  • Design branded visual assets using Canva including brochures, flyers, and event programs, for both digital and print use.
  • Collaborate with the multimedia team or volunteers to source visual content.
  • Publish and manage content across platforms, including Stories, Highlights, tagging, hashtags, and engagement features.
  • Assist with drafting and publishing blog content.
  • Provide occasional support designing print materials such as tabling materials, brochures, or event programs as needed.
  • Organize and archive media files in Google Drive for easy access and future use.
  • Support the planning and rollout of marketing campaigns tied to key awareness months, events, and Maristan initiatives

  • Strong graphic design and content planning skills required. Short-form video editing skills are a plus but not required.
  • Strong understanding of major social media platforms (Instagram, Twitter/X, Facebook, YouTube, LinkedIn) and how to effectively use Stories, Reels, Highlights, tagging, and analytics features.
  • Strong writing skills with attention to tone, voice, and mission alignment.

The Clinician is responsible for providing clinical services to Maristan clients. The individual should embody the organization’s mission and vision. They should be able to prioritize various tasks and responsibilities while working alongside fellow team and board members. This position offers the opportunity to help direct the growth of a nonprofit organization and implement mental health and wellness initiatives that serve our communities.
Duties and Responsibilities

The Clinician will perform duties, such as, but not limited to the following:


  • Provide individual, couples, family, and group therapy through Maristan’s clinic to clients in compliance with individual qualifications.
  • Provide clinical consultations to new Maristan clients as needed but not exceeding one hour weekly.
  • Maintain confidentiality of clinical and client information in accordance with HIPAA regulations, ethical standards, and Maristan’s clinical policies.
  • Collaborate with other Maristan clinicians and the clinical team for better clinical outcomes for clients, the clinic, and Maristan overall.
  • Complete a wide variety of administrative tasks as required by the position, including billing, intake, progress notes, and invoicing.
  • Develop and execute client treatment plans.
  • Attend weekly staff and didactic meetings virtually.
  • Attend weekly supervision meetings as required by licensure and Maristan clinic requirements.
  • Attend mandatory training(s) with Maristan’s clinical manager and/or clinical coordinator for at least four weeks, up to one hour per session, to familiarize with Maristan’s clinic policies, Valant EMR, and other related topics.
  • Present at Maristan’s learning circles, healing circles, and/or other speaking engagements that may arise on topics related to Muslim mental health. Maristan clinicians are required to speak at two (2) events throughout the year.
  • Be familiar with Islamic concepts to support providing Islamically-integrated care for Maristan’s Muslim clients.
  • Be familiar with telehealth practices and have access to a private room to render virtual services.
Qualifications, Skills, and Abilities

Technical Knowledge

  • A master’s degree or doctorate in a related field, including social work, marriage and family therapy, professional counseling, counseling psychology, and clinical psychology.
  • Licensed, or holding a license-eligible degree.
